Zimbra Filters
|
In Zimbra, filters can be created. A number of actions could be undertaken by a given filter when an email meets the set condition’s parameters. These actions include the following.
Actions:
Keep in Inbox
To reduce spam or junk mail from entering the Inbox, the ‘Discard’ action should be used in a filter. In order to have spam sent to the Junk folder, the ‘Move into folder’ option under, ‘Actions’, should be chosen and the destination should be the Junk folder.
Individual email addresses and email addresses associated to a specific domain name can be filtered.
An example of an individual email address is johndoe@example.ca.
An example of a domain name is, example.com.
If you want to block all email messages from a specific email provider, it is best to create a filter to block any email from the specific domain name.
How to create a filter:
Under the, ‘Incoming Message Filters’ tab, click on the, ‘Create Filter’ button.
|
Click on the drop-down menu that displays, ‘Subject’, on it. Next, click on the, ‘From’, option. This will set the filter to detect incoming email messages based on the email address. For a specific email address you want to block emails from, keep, ‘matches exactly’, as is. Next, specify the email address you want the filter to block emails from.

Other tasks Zimbra filters can do:
Tagging emails
Marking emails
Moving emails to a specific folder
Redirecting emails to a specific email address
The same tasks can be done on outgoing or sent email messages, too.
For spam, you should either discard it or move it to the Junk folder. Instructions on how to do either, a permanent deletion of the spam email message or a transfer of it to the Junk folder are as follows.
Permanent deletion:
1. Click on the drop-down menu that displays, ‘Keep in Inbox’.
2. Click on, ‘Discard’, on the menu.
Transfer spam to the Junk folder:
1. Click on the drop-down menu that displays, ‘Keep in Inbox’.
2. Click on, ‘Move into folder’, on the menu.
3. Click on the, ‘Browse’, button.
4. Double-click lick on the, ‘Junk’, folder choice.
Once all filter settings are set, click on the, ‘OK’ button, to save the filter’s settings. By default, the Zimbra filter should be active.
Multiple conditions can be included in a given filter if required. This can be done by clicking on the, ‘+’, button for conditions.
Once a filter has been created, it can be edited, too.
To make the filter become, Active, click on the, ‘Add’, button.
Other Method: Spam Mail Options
This permits users to create block lists and allow lists for email addresses. Block lists and allow lists can be used on their own or together. If either list is empty, the given list is not active.
Spam Mail Options
The easiest way to block spam in Zimbra is to add the email addresses you want to block to the block list in the ‘Mail’ Preferences options. It can be done as the below example illustrates.
In the Mail options, under the, ‘Spam Mail Options’ heading, email addresses to be blocked can be added to the block list. Enter in the email address you want to block from entering your Zimbra Inbox in the textbox below, ‘Block messages from:’, and click on the, ‘Add’, button. The specified email address will when detected by Zimbra in incoming mail be discarded.
|
You should see the blocked email address, listed below. Email addresses can be removed from the list or email addresses to block, too.
|
Before exiting, ‘Preferences’, it is a good idea to verify that the list of blocked email addresses is correct and verify that your email filters are as you desire them to be if you created one or more Zimbra filter(s).
