Calendars

Calendars are very useful for organizing reminders of events and tasks for specific dates. Email services provide online calendars for their users. Online calendars permit users to enter in important notices, events, and tasks for different times of a given day.

Below, an example of a Zimbra calendar is shown.

Each day on the calendar can hold a day’s worth of information relative to times of the day. The above example is of a Zimbra calendar. On this calendar meetings, appointments and events could be marked down. Appointments are the most used form of entry type on Zimbra calendars in an office setting. Reminder emails can be set to be sent before the appointment’s time, too. Below, is a screenshot of the appointment setup dialog box.

Email services other than Zimbra have calendars, too. Some of them include Outlook, Gmail and Yahoo. You can even access calendars using email clients. Outlook and Thunderbird are two examples of email clients that can access calendars from email accounts. However with Thunderbird, you need to install its Lightspeed extension to be able to access calendars from it. Not all email service calendars have the same layout and features. On a personal email account, you may not be able to create appointments which you may be able to create on a work account’s calendar. Also there may be limited access to shared workplace calendars, using email clients. Largely, this is due to access restrictions. On an email client like Thunderbird, sensitive information should not be accessed from home due to the potential risk of privacy breaches. It is also good practice to limit email client calendars at home to information not related to work tasks.

Making the most of email calendars can be done by adding events and alerts to them. An event on a webmail calendar is an activity scheduled to take place at a specific time on a given general reoccurring day of the month or a specific date. An alert is a notification that an event will begin or has begun. Calendar alerts can come in the form of emails, SMS messages and even phone calls. They are very useful for reminding people about upcoming scheduled events at workplaces or at home which are important to not miss. An example is a work meeting. Reminders of personal tasks to do can be created, too. If one has an appointment of some sort, a reminder can be created on the calendar. Scheduled tasks can also be entering in on calendar day slots if needed to be entered in.
